Church Room Booking: Stop Double-Booking Your Fellowship Hall

The sanctuary is booked for a wedding. The youth group thinks they have the fellowship hall. The women's ministry planned a meeting in the same room at the same time. Nobody told anyone because the booking "system" is a paper calendar on the office wall that only the church secretary can see.

Room booking conflicts are one of the most common operational headaches in churches. And they are completely preventable with a simple system.

  • Availability hours (set per day of week, e.g., available Mon-Fri 8am-9pm, Sat-Sun 7am-10pm)
  • Features and amenities (projector, sound system, kitchen access, whiteboard, piano)
  • Accessibility (wheelchair accessible, hearing loop, ground floor)

This creates a central inventory of every space your church has. When someone asks "which rooms have a projector and seat at least 30 people?" you can answer instantly.

Booking a Room

When you need to reserve a space:

  1. Select the room
  2. Pick the date and time
  3. Add a description (what the booking is for)
  4. Submit for approval (if your church requires it)

Recurring Bookings

For churches that want oversight over room usage, enable booking approvals. When someone requests a room, an admin reviews and approves or declines. This prevents unauthorized bookings and gives the church administrator visibility into how spaces are being used.

For smaller churches where the administrator handles everything anyway, you can skip approval and let bookings go through immediately.

Equipment Management

Beyond rooms, churches have equipment that gets shared, borrowed, lost, and occasionally returned:
