Your church runs more events than you think. Sunday services, Wednesday Bible study, youth group, VBS, the annual retreat, potlucks, volunteer training, new members class, baptism prep, holiday services, outreach events, and the occasional building committee meeting.
Managing all of those with a shared Google Calendar and email sign-ups works until it does not. Double-booked rooms. No idea how many people are coming. No record of who actually showed up. Forgotten RSVPs.
Here is how Gathrik handles church event management.
Creating Events
Every event in Gathrik has:
- Title, description, and location
- Date and time (start and end)
- Category (worship, fellowship, training, outreach, etc., with custom colors and icons)
- Capacity limit (optional, prevents over-registration)
- Registration with custom form fields
Recurring Events
Most church events repeat. Sunday services, weekly Bible studies, monthly board meetings. Instead of creating 52 individual events for your Sunday service, create one with a recurring pattern:
- Daily, weekly, biweekly, monthly, or yearly
- Specific weekdays (every Sunday, every Tuesday and Thursday)
- End date or number of occurrences
- Cancel individual instances without affecting the series
This saves significant setup time and keeps your calendar clean.
Event Categories
Organize events with custom categories. Each category gets a color and icon so your calendar is visually scannable:

For events that need sign-ups (retreats, VBS, classes, conferences), Gathrik includes a registration system:
Custom Registration Fields
Beyond "name and email," you can add custom fields to your registration form:
- Text fields (dietary restrictions, special requests)
- Dropdown selections (t-shirt size, preferred session time)
- Checkboxes (I agree to the photo policy, I need childcare)
- Required vs optional fields
Each event can have its own set of registration fields. A VBS registration needs different information than a leadership retreat sign-up.
Registration Management
As people register, you see:
- Total registered vs capacity
- Individual registrant details
- Registration timestamps
- Custom field responses
No more counting email replies. No more maintaining a separate sign-up spreadsheet. Everything is in one place and linked to member profiles.
Attendance Tracking Per Event
Registration tells you who plans to come. Attendance tells you who actually showed up.
For each event, you can record attendance. This connects to the same attendance system used for Sunday services:
- Mark members as present
- Log first-time visitors
- Feed data into engagement scoring
Over time, this reveals patterns. Which events draw the most people? Which age groups attend which events? Are your fellowship events actually building community, or are the same 15 people showing up every time?
How Events Connect to Everything Else
Events in Gathrik are not isolated. They connect to other parts of the system:
Check-in: Create a QR check-in session for any event. Members scan to check in. First-timers register on the spot. Read about check-in
Communication: Send event reminders via email, SMS, or WhatsApp. Filter recipients by who registered vs who has not.
Facilities: If you use Gathrik's room booking features (Pro plan), events can be linked to room reservations with conflict detection.
Engagement scoring: Event attendance feeds into the engagement calculation. Members who attend events beyond Sunday services score higher on participation.
Groups: Group-specific events (small group social, ministry team training) can be linked to the relevant group.
Event Templates
For events you run regularly with the same format (quarterly volunteer appreciation dinner, monthly newcomers lunch), save them as templates. Create the event once with all the details, save as template, and use it next time. Change the date and you are done.
What We Do Not Include
Payment processing for events. If you charge for retreats, conferences, or VBS, Gathrik does not currently process event payments. You would need to collect payments separately (Stripe, Eventbrite, or cash) and record the transaction manually.
Public event pages. Events are visible within Gathrik's member portal and admin dashboard. There is not yet a public-facing event page you can share with non-members. This is on our roadmap.
Waitlists. When an event reaches capacity, registration closes. We do not yet support automatic waitlists with notification when a spot opens.
